What a Repair Order Is For
The repair order is the shop's contract. Signed by the customer at drop-off, it sets what you are authorized to do and for how much, and records the condition of the vehicle you are taking in. It protects you in the three most common disputes:
- "I never asked for that": the work and the estimated amount are written and signed;
- "That scratch wasn't there": the condition at check-in is described;
- The vehicle nobody picks up: the promised date, the lien and storage fees are announced.
It also serves as the technician's job sheet and as the basis for the invoice: what was actually done is compared to what was agreed.
What an Auto Repair Order Template Should Include
- Shop identity: name, address, phone, EIN if you invoice businesses;
- Customer identity and a fast way to reach them (cell phone);
- Vehicle: license plate, year, make and model, VIN, mileage in, fuel level;
- RO number, date in and promised date;
- Requested work and symptoms reported by the customer, with the estimated parts and labor detail;
- Estimated amount and the authorization limit above which a new approval is required;
- Vehicle condition at check-in and items left inside;
- Return of replaced parts if the customer requests it;
- Terms: mechanic's lien, storage fees, road test;
- Signatures of the customer and the shop.

Repair Order, Estimate, Invoice: What's the Difference?
The estimate is a price proposal, before approval. The repair order records the approval and the check-in of the vehicle. The invoice comes after the work and lists what was actually done. In practice, a priced and signed RO serves as the approved estimate, and a signed estimate can serve as an RO if it notes the vehicle condition and the promised date.

Frequently Asked Questions
Is a written repair order required for an auto repair shop?
Rules vary by state, but many states require a written estimate and the customer's authorization before work begins, and prohibit charging for work the customer did not approve. Some also require you to offer the return of replaced parts. A signed repair order is the simplest way to document all of that in one place, which is why shops use one for every vehicle that comes in.

Does the customer have to sign the repair order?
Yes, that is the whole point: the customer's signature is their authorization of the work, the estimated amount and the vehicle condition noted at check-in. The shop signs too. Give the customer a copy (paper or PDF by email) and keep yours with the invoice.
